Privacy Policy
Last updated: 9 June 2026
This Privacy Policy explains how IntelliVet (“IntelliVet”, “we”, “us”) handles information when veterinary clinics and their staff use our practice-management platform, and when pet owners use the owner portal. We act as a data processor on behalf of each clinic, which remains the controller of its own records.
Information we collect
- Account data: name, email, phone number and role for clinic staff and owners.
- Clinic operational data: clients, patients, appointments, clinical records, prescriptions, vaccinations, invoices and payments recorded by the clinic.
- Usage and device data: log data, IP address and basic analytics used to keep the service secure and reliable.
How we use information
- To provide and operate the platform for the clinic that owns the data.
- To send transactional and reminder messages (such as appointment and vaccination reminders) on the clinic’s behalf.
- To secure the service, prevent abuse, and meet legal obligations.
We do not sell personal data. We do not process payments; invoices are generated and payments are recorded for the clinic’s bookkeeping only.
Data isolation and security
Each clinic’s data is isolated using database row-level security, so one clinic can never read another’s records. Data is encrypted in transit, access is role-based and audited, and clinical and financial changes are recorded in an append-only audit trail.
Data retention
We retain clinic data for as long as the clinic maintains an active account, and for any additional period required to meet legal, tax or regulatory obligations. Clinics can request export or deletion of their data, subject to those obligations.
Your rights
Depending on your role and applicable law, you may request access to, correction of, or deletion of your personal data. Pet owners should contact their clinic directly for records the clinic controls; clinics can contact us for platform-level requests.
